Website sales and quotation requests are assessed by our common sales team acting for both companies. We propose suitable offices and services according to your requirements and preferred location.
Each company is a data controller for the processing activities whose purposes and means it determines. In these texts, “Company” means the company identified in the documents for your particular transaction and process.
1. Controllers and scope
This notice explains processing by the above companies when you visit www.swissoffices.com and use its contact, information-request and reservation services, under KVKK.
2. Personal data processed
- Identity: your name and surname.
- Contact: telephone number and email address.
- Enquiry and customer-transaction information: service of interest, preferred location, information and quotation requests, messages, explanations and correspondence.
- Reservation information: location, date, start and end time, reservation preferences and information you provide for an office tour or meeting room.
- Transaction security: IP address, access and usage records, logs and technical device/browser information.
- Cookies and similar technologies: online identifiers and usage information.
- Marketing: newsletter or commercial communication preferences, permission and refusal records.
We do not seek special categories of personal data through website messages or additional-information fields. Please do not send such information unless needed to provide the service or respond to your request.
3. Purposes and legal grounds
3.1. Contact, information and quotation requests
Identity, contact and enquiry information is used to receive and assess your request, explain our services, identify suitable options, provide prices and quotations, answer questions and contact you about the request. Where you request a service in your own name with a view to entering a contract, the ground is Article 5(2)(c): processing directly necessary to establish a contract with you. Where you represent an organisation, Article 5(2)(f) applies to our legitimate interests in communicating with prospective customers and conducting business, provided your fundamental rights and freedoms are not harmed.
3.2. Office tours and meeting rooms
Identity, contact and reservation information is used to receive reservations, check availability, create and manage bookings, communicate about them and provide the requested service. Depending on the relationship, this relies on Article 5(2)(c), necessity to establish or perform a contract, and/or Article 5(2)(f), legitimate interests in reservation and customer-relationship management.
3.3. Website operations and security
IP addresses, access and system logs, and technical browser/device information support secure and uninterrupted operation, prevention and detection of unlawful or unauthorised access, troubleshooting, and system/network security. This relies on Article 5(2)(f), our legitimate interest in securing the website and systems, and, where applicable, Article 5(2)(ç), compliance with a legal obligation.
3.4. Cookies and similar technologies
These technologies support website operation, remembering preferences, performance measurement, analytics and marketing, depending on the category. Strictly necessary records rely on the applicable condition in Article 5(2). Analytics, performance, advertising and marketing processing requiring explicit consent relies on Article 5(1) and does not start before your consent. The Cookie Policy lists categories, purposes, providers and durations.
3.5. Newsletters and marketing
If you sign up for news, campaigns, offers or service announcements, your email address and preference/permission records may be used for marketing and commercial communication. Separate information and, where required, explicit consent and commercial communication permission apply. Acknowledging this notice or requesting information or a service does not constitute permission for advertising or marketing messages.
4. Recipients
Where necessary and proportionate to the purposes above, and in accordance with Article 8 KVKK, data may be disclosed to hosting, website, IT and technical-support providers for hosting, operation, maintenance and security; CRM, email and communication providers for receiving, recording and managing enquiries/bookings and contacting you; analytics and digital-service providers where the relevant processing has a valid legal ground and is necessary; lawyers for disputes or establishing, exercising or protecting rights; and competent public, judicial or administrative authorities for legal obligations and duly made requests. Only data needed for the particular disclosure are shared.
5. International transfers
Google Analytics and advertising measurement, Meta Pixel and OpenAI advertising measurement are managed through Google Tag Manager. Depending on your analytics or marketing choice, these services may receive online identifiers, browser and device information, page and referral information, advertising click references, and events such as successful form submission or a telephone-link click. Their global infrastructure may process these data outside Türkiye.
Cookie consent and the legal requirements for international transfers are assessed separately. Regular transfers require an applicable transfer condition and safeguard under Article 9 KVKK; cookie consent alone does not establish compliance. The Cookie Policy describes the tools and data. Processing and storage of your enquiry information are separate from cookie records.
6. Collection methods
Data are obtained electronically by automated or partly automated means through contact and information forms, tour and meeting-room reservation forms, newsletter registrations, messages and requests, cookies and similar technologies, servers and system logs. The legal grounds in Article 5 applicable to each activity are set out above.
7. Your rights and requests
Under Article 11 of Turkish Personal Data Protection Law No. 6698 (“KVKK”), you may learn whether your data are processed; request information about processing; learn its purpose and whether data are used accordingly; learn the recipients in Türkiye or abroad; request correction of incomplete or inaccurate data; request erasure or destruction when the legal conditions are met; request notification of correction, erasure or destruction to recipients; object to an adverse result arising solely from automated analysis; and seek compensation for damage caused by unlawful processing.
You may submit a signed written request to Levent Mah. Cömert Sok. No:1/C D:40 34330 Beşiktaş İstanbul; use a secure electronic signature or mobile signature; email info@swissoffices.com from an email address previously notified to and recorded by the relevant company; or use another method permitted by the applicable legislation.
Your request must include your full name, signature for written requests, Turkish identity number for Turkish citizens or nationality and passport number or other identity number for foreign nationals, address for service, any notification email address, telephone and fax number, the subject of the request and relevant supporting information. Do not provide documents unnecessary to identify you and assess the request.
