The same phrase can mean different things in office proposals. One provider uses “private office” for an enclosed room; another describes a workspace designed for a company and supported by a managed service team. Before comparing labels, establish who will provide the space and who will run it.

At SwissOffices, Serviced Offices are furnished workspaces in our existing centres. Managed Office describes a service scope developed around your company, either in a new location or in an office you already occupy.

Serviced office: start with an existing address

You assess a room or suite that has already been prepared for use. Layout, headcount, meeting needs and included support form the basis of the proposal. Reception, cleaning and internet can be considered within the same office arrangement.

An available room is only part of a start date. Telephone lines, access permissions and any special equipment must also be ready. Changes to the layout depend on what the existing space can accommodate.

Managed office: start with your requirements

A managed office brief may begin with finding an address. You might need premises in a particular district, a layout suited to your departments and space that presents your own brand. SwissOffices can bring the search, design, furniture and day-to-day services into one planning process.

Where appropriate, SwissOffices can lease the premises and provide them with furniture, equipment and agreed staffing services. The leaseholder, investment arrangements and service responsibilities are determined for the individual project. Managed office proposals therefore do not all follow the same contract or delivery timetable.

Keep your current office and change how it is supported

You may already have the right address. The problem could be arranging dependable reception, cleaning, refreshments or technical support. In that case, a service arrangement can be planned for the office you occupy.

Explain which responsibilities you want to delegate and which will remain within your company. Agree staff duties, working hours, supply arrangements and the contact for reporting a fault. This makes the boundary between the two teams understandable.

Ask the same questions before deciding

  • Are we moving into an existing space or preparing a new one?
  • Who chooses the address, layout and furniture?
  • What will be completed before the first working day?
  • Who manages daily services and resolves problems?
  • What happens when we grow, change the arrangement or leave?

A serviced office decision starts with how well the available space fits your work. A managed office discussion starts with defining what you need. Share your headcount, preferred area and expectations of office support to identify the more suitable approach.
