Each company is a data controller for the processing activities whose purposes and means it determines. In these texts, “Company” means the company identified in the documents for your particular transaction and process.
For contracts, invoicing and service provision, the relevant company is the one named in your quotation or contract.
1. Scope
This notice covers individual customers contracting for virtual or serviced offices, office/room use and related services, and corporate customers’ officers, authorised signatories, representatives and contact persons.
2. Personal data
- Identity: full name, Turkish identity number, date of birth, signature and necessary identity-document details.
- Contact: telephone, email, address and other contact details.
- Customer transactions: customer number, contracts, enquiries and quotations, services and office/space use, correspondence, requests, complaints and support records.
- Company and authority: organisation name, role/title, signature and representation authority, and necessary details in powers of attorney, signature circulars or authorisation documents.
- Finance: IBAN, bank and payment information, invoices and collections.
- Legal processes: contracts, notices, disputes and proceeding records.
- Transaction security: IP addresses, user/access records, system entry/exit logs and technical security records.
We do not generally seek special-category data for customer management. Where identity or authorisation documents contain sensitive information unnecessary for the service, please redact or remove it where possible. Turkish identity numbers and dates of birth relate to the customer relationship; they are not fields in our general website contact or quotation forms. Each item is processed only when necessary and proportionate to the relevant activity.
3. Purposes and legal grounds
Processing follows the principles in Article 4 KVKK and the activity-specific grounds below. “Legitimate interests” are subject to protection of your fundamental rights and freedoms.

The above activities rely on Article 5(2). If advertising or other marketing requires explicit consent or commercial communication permission, separate information and permission procedures apply.
4. Recipients
Under Article 8 KVKK, necessary data may be shared with banks/payment providers for financial transactions; accountants and finance providers for accounting, tax and invoicing; lawyers, advisers, mediators, notaries and other legal-service providers for disputes and protection of rights; IT, software, CRM, email, hosting and support providers for systems, customer management, communication and security; and competent public, judicial or administrative bodies for legal duties or duly made requests. Each disclosure is limited to its purpose.
5. Collection methods
Data are collected through service contracts and annexes, quotations and application forms, email and other electronic channels, telephone or in-person conversations, customer-management systems and platforms, payment/invoicing systems, documents supplied by you or your organisation or authorised persons, and lawfully accessible official sources where necessary. Collection may be automated, partly automated, or non-automated within a filing system, on the grounds above.
6. Retention
Data are retained for the processing purpose, taking account of statutory periods, the contractual relationship, legal obligations and limitation periods. When all processing grounds end and no other retention ground remains, data are erased, destroyed or anonymised under the legislation and our retention/disposal processes.
7. Rights
Under Article 11 of Turkish Personal Data Protection Law No. 6698 (“KVKK”), you may learn whether your data are processed; request information about processing; learn its purpose and whether data are used accordingly; learn the recipients in Türkiye or abroad; request correction of incomplete or inaccurate data; request erasure or destruction when the legal conditions are met; request notification of correction, erasure or destruction to recipients; object to an adverse result arising solely from automated analysis; and seek compensation for damage caused by unlawful processing.
8. Requests
You may submit a signed written request to Levent Mah. Cömert Sok. No:1/C D:40 34330 Beşiktaş İstanbul; use a secure electronic signature or mobile signature; email info@swissoffices.com from an email address previously notified to and recorded by the relevant company; or use another method permitted by the applicable legislation.
Your request must include your full name, signature for written requests, Turkish identity number for Turkish citizens or nationality and passport number or other identity number for foreign nationals, address for service, any notification email address, telephone and fax number, the subject of the request and relevant supporting information. Do not provide documents unnecessary to identify you and assess the request.
