Website sales and quotation requests are assessed by our common sales team acting for both companies. We propose suitable offices and services according to your requirements and preferred location.
Each company is a data controller for the processing activities whose purposes and means it determines. In these texts, “Company” means the company identified in the documents for your particular transaction and process.
1. Scope
This notice covers individuals contacting SwissOffices about virtual offices, serviced offices, office/room use, use of a company address and related services, and the authorised representatives and contact persons of prospective corporate customers seeking information, quotations or a possible business relationship.
2. Personal data
Depending on your enquiry, we may process your name; telephone, email and other contact details you provide; service and quotation requests, proposed office/room, enquiry and discussion content, quotations, prices and correspondence; the name of your organisation and your job title or role; and IP addresses, access/system records and technical security logs for electronic enquiries. We do not seek special-category data for prospect or quotation processes. Please do not include unnecessary sensitive information in your message.
3. Purposes and legal grounds
Information and quotations
Identity, contact, company and enquiry information is used to explain services, assess requirements, identify suitable options, provide quotations and prices, and contact you about your enquiry. For an individual expected to become a contracting party, Article 5(2)(c) KVKK applies to processing directly necessary to establish that contract. For representatives of organisations, Article 5(2)(f) applies to legitimate interests in communication, assessment and business operations, without harming fundamental rights and freedoms.
Pre-contract communication
We use data to communicate by telephone, email or other channels, arrange meetings, answer questions, discuss and update quotations as requested, and manage the pre-contract process, on the contract-formation and/or legitimate-interest grounds above.
Enquiry and discussion records
Records help prevent duplicate requests, follow up discussions and quotations, manage customer relationships, enquiries and complaints, and, where necessary, handle disputes and protect rights. Applicable grounds are Article 5(2)(e), establishing, exercising or protecting a right, and/or Article 5(2)(f), necessity for our legitimate interests.
Information security
Technical security data arising from website, email or other electronic communications supports system security, prevention of unauthorised access and misuse, access logging and troubleshooting, on the basis of Article 5(2)(f).
4. Disclosures
Necessary and proportionate data may be shared under Article 8 KVKK with IT, CRM, hosting, email and support providers to operate and maintain systems; lawyers and legal advisers for advice and protection of rights; and competent public, judicial or administrative bodies to comply with legislation or duly made requests. Disclosures are limited to the data needed for the purpose.
This notice concerns assessment of your enquiry and quotation. Website analytics and advertising flows are described separately in the Website Privacy Notice and Cookie Policy. Recording an enquiry in the website system does not by itself mean that email, hosting or other services are limited to Türkiye. International transfer status depends on the actual providers and access arrangements.
5. Collection
Data may be obtained through website forms, telephone conversations, email, in-person discussions, direct social-media or other electronic communications, meetings with staff, and information supplied by the organisation you represent. Collection may be automated, partly automated, or non-automated as part of a filing system, on the Article 5 grounds described above.
6. Retention
Data are kept for the time needed to assess your request and quotation. If a contract results, applicable customer-relationship grounds and retention periods apply. If no contract results, data are erased, destroyed or anonymised at the end of the period determined by the quotation process, protection against legal claims and statutory obligations, unless another retention ground applies. 7. Marketing messages
This processing primarily responds to your own enquiry and manages the pre-contract process. Advertising, campaign, promotional or general marketing processing beyond that process is subject to separate permission and/or explicit consent where required. This notice is not consent to marketing or commercial electronic messages.
8. Your rights
Under Article 11 of Turkish Personal Data Protection Law No. 6698 (“KVKK”), you may learn whether your data are processed; request information about processing; learn its purpose and whether data are used accordingly; learn the recipients in Türkiye or abroad; request correction of incomplete or inaccurate data; request erasure or destruction when the legal conditions are met; request notification of correction, erasure or destruction to recipients; object to an adverse result arising solely from automated analysis; and seek compensation for damage caused by unlawful processing.
9. Requests
You may submit a signed written request to Levent Mah. Cömert Sok. No:1/C D:40 34330 Beşiktaş İstanbul; use a secure electronic signature or mobile signature; email info@swissoffices.com from an email address previously notified to and recorded by the relevant company; or use another method permitted by the applicable legislation.
Your request must include your full name, signature for written requests, Turkish identity number for Turkish citizens or nationality and passport number or other identity number for foreign nationals, address for service, any notification email address, telephone and fax number, the subject of the request and relevant supporting information. Do not provide documents unnecessary to identify you and assess the request.
Requests are answered as soon as possible and within 30 days. They are normally free; a charge under the Board’s tariff may apply where a response requires an additional cost. See Your rights and requests.
